How to issue a physical card?

Admins and users with ‘Edit expense data for all transactions’ permissions can issue new physical cards to all users from the Cards dashboard ‘Admin view’. There is a limit of 1 (one) physical card per team member at any one time.

Pro tip: Team members must have cards set as a payment type before you can issue them a physical card.

How to issue a physical card:

Step 1: From the top menu bar, Navigate to the Payments > Cards page (Admin View)

Step 2: Tap ‘Issue new card’ and on the slide out drawer click on the ‘Issue physical card’ button.

Step 3: Select who the physical card is for and ‘Continue’.

Step 4: Confirm card details, mailing address and agree to the physical card fee and click ‘Issue card’.

Important! Please note that once a new physical card has been issued, this team member’s virtual card will need to be re-added to their mobile wallet.

How do spend limits work on physical cards?

The physical card functions just like the Weel virtual card, with spend limits tied directly to the budget it's linked to. Users can easily connect their card to any available budget through the Weel mobile app or web platform before making purchases. Please note that both the physical card and mobile wallet card will be linked to the same budget and can be changed at any time.

What is the difference between a virtual and a physical card?

Virtual cards, as the name suggests, exist purely in digital form and are accessible through our mobile app or online platform. They provide immediate access upon issuance, allowing for instant payments and greater convenience, especially for online transactions and digital wallets. Additionally, virtual cards offer enhanced security features, such as the ability to freeze or delete the card instantly in case of unauthorised use.

On the other hand, physical card is a tangible plastic card for those who prefer traditional payment methods or require a physical card for in-store transactions. Our physical cards provide the same level of security and functionality as their virtual counterparts, with the added benefit of being accepted at locations that may not support virtual payments.

When you sign up for a physical card, you'll receive it in the mail. You'll also get immediate access to a virtual card, which is linked to the same account and can be used right away. With Weel, you have the flexibility to seamlessly transition between both forms of payment while enjoying the same level of security and convenience.

Where is my physical card accepted?

Your physical card is accepted anywhere that Visa is accepted, in-store and online.

Do physical cards work overseas?

Yes, your physical card will work overseas anywhere that Visa is accepted. Please note that for foreign transactions, a FX fee of 0.95% will be applied to the transaction. This fee ensures that you can conveniently use your card internationally while still enjoying competitive exchange rates.

02. Issuance and delivery

Who can issue a physical card?

Physical cards can be issued by Account Owners or Admins to any employee who has the Cards payment type assigned to them.If an employee does not currently have the Cards payment type, it can easily be added by the Account Owner or Admin via the User Management page.

How long does a physical card take to arrive?

Once a physical card is issued by an Account Owner or Admin, the employee can expect to receive it via AusPost within 7-10 business days.

Where can I ship my physical card?

When you're issuing a physical card, you'll have the opportunity to select the delivery address. Please note that physical cards can only be shipped to addresses within Australia. We do not ship to PO boxes or internationally at this time.

My physical card hasn't arrived, what do I do?

If your physical card hasn't arrived within the expected timeframe, which is typically 7-10 business days, please don't worry. Contact our Support team at [email protected] for assistance. Our team will be happy to help track the status of your card delivery and provide further assistance as needed.

What is the pricing for a physical card?

The price of a physical card is $15 + GST per card. In the event of needing a replacement card, the same fee will be charged. We aim to keep our pricing transparent and competitive while providing a seamless experience for our users.

How many physical cards can I get?

Each employee account is eligible to be issued one physical card.

How do I activate my new physical card?

To activate your Weel physical card, follow these simple steps:

Open the Weel mobile app. If you haven't already installed the app, you can download it from the Apple App Store or Google Play Store by searching for 'Weel' and selecting download.
In the app, tap on the banner that says ‘Activate your physical card’. Alternatively, you can access the 'Manage your card' menu by clicking the cog icon located in the top right-hand corner.
Select ‘Activate physical card’ from the menu. You'll be prompted to enter an 8-digit code, which can be found on the sticker on the front of your physical card.
Once you've entered the activation code, your physical card will be activated, and you'll be ready to make payments using it!

How do I set my PIN?

To set your PIN for both your physical card and its associated virtual card, follow these steps:

Open the Weel mobile app‍
Navigate to the "Manage your card" menu by tapping the cog icon located in the top right-hand corner
Tap on "Manage card PIN."
Enter a 4-digit PIN. This will be the PIN you use at the point-of-sale terminal when prompted.
Confirm your new 4-digit PIN.
Enter the 6-digit verification code to finalise setting your PIN.

05. Physical card usage

How do I make a payment?

To make a payment using your Weel Visa Debit card, follow these steps:

When making a purchase at a terminal, tap, insert or swipe your card.
If you’re prompted to select a payment type, select the "Credit/CR" button on the terminal to ensure you're using the Visa network for processing. This selection is important to avoid transaction declines.
Despite the terminology, choosing 'credit' on your debit card will still utilise the funds available in your account for the transaction.

Can I withdraw cash with my physical card?

No, cash withdrawals have been disabled for your physical card. This means that you cannot withdraw cash from ATMs or perform cash advances using your Weel physical card.

What happens to my existing virtual card if I get issued a physical card?

If you previously had an existing virtual card and are issued a new physical card, here's what happens:

Navigate to your mobile wallet and, if not already deleted, remove your previous Weel virtual card.
Open the Weel mobile app. In the app, tap the banner that says ‘Your Weel card is ready to be set up’ and follow the prompts.
Your new Weel card will be added to your mobile wallet and can be used immediately for transactions.

If you previously had an existing virtual card and are issued a new physical card, here's what happens:

How do I freeze my physical card?

If your card has been compromised, follow these steps in the Weel mobile app:

Open the Weel mobile app.
Navigate to the "Manage your card" menu by tapping the cog icon located in the top right-hand corner.
Tap on "Cards lost or stolen?"
Confirm that you'd like to freeze all cards. This action will freeze both your physical and virtual cards, as well as any associated budgets and subscriptions.

Please be aware that only Account Admins have the authority to unfreeze your cards if necessary. If you require further assistance or have any concerns, don't hesitate to contact our support team for help.

How do I replace a physical card?

To replace a physical card:

How to link a budget to your primary card?

To link a budget to your primary card, you can use the Weel mobile app or the Weel web platform.
